Exporting Book and Passing to QA

When you finish a book you need to export the project and then pass it to QA for Quality Assurance.

Before a project has been exported, there will be text near the top of the main project page that reads: It has not yet been exported.

If you are a Production Assistant, remember to also pass the RT ticket back to the Production Coordinator after you export the book and pass it to QA.

This page walks you through each step in order.

Make sure that you have gone through all the steps to reorder and rename the tracks as needed, and you have double-checked your work before you export. It is very important that we are naming the sections correctly, and this is the time to just take a moment to go over your work before exporting. Export Project

If something seems off in the information on this page, stop what you are doing and do not Export it. You will need to Hand to Rachel for her to look at the file. An example of something wrong includes a very short run time. If everything looks good then continue to export.

After you select Export the Project you will be on the export page. Here you will see some information about the file including:

  • Size
  • Runtime
  • Encoding

If you are asked to compress the quality of the title, see the Compress Quality section below for more instructions. If you are not asked to compress the quality see the Export section below.

Compress Quality

There are 4 conditions that will cause COP to ask you if you want to compress the file:

  1. If the book is too large to fit on a CD,
  2. if the bit rate is high,
  3. if it is in stereo,
  4. or if the sample rate may not be supported by all DAISY players.

If one or more of these conditions occur, you may be presented with one or more following options:

  • Compress to Audio Production Quality: is offered if the book is recorded at a bit rate higher than 128 kbps, or has music and special effect throughout the book.
  • Compress to Standard Talking Book Quality: this is the most common option and is offered if the book is smaller than the above rate, or has no music and special effects throughout the books.
  • Compress to Acceptable Talking Book Quality: is offered if the book is smaller than the above rate, or has no music and special effects throughout the books.
  • Compress to Minimum Talking Book Quality: is offered if the book is smaller than the above rate, or has no music and special effects throughout the books.

The most common option will be Standard Talking Book Quality.

If you are presented with one of the above options, select the option before you export to compress the file. We do this so it is easier for the user to upload the book to their device.

If you are presented with one of the above options: Select the button to compress Button will disappear and be replaced with plain text that reads: Will Compress to [blank] Quality You can not move to the next section to export!

If you are presented with more than one option, select the one best suited for the title. For example, you only need Audio Production Quality if there are special effects or music throughout the tracks. If there is only music in the Title and Sign Off track you can compress the file to Standard Talking Book Quality. If in doubt, ask.

Export File

If there is no option to compress the title, then simply export!

To export a file: Select the button labelled Export This will take you to a new page that will process the export, stay on this page and wait until it is done. When it is done there will be plain text that reads: Done above a link to return to the main project page. Select Return to the Main Project Page

Now you are ready to Pass the title to QA for Quality Assurance!

You can also use Batch Mode to import and export multiple projects. Please see Batch Mode for more information.

If you need to make any revisions after you have exported, remember to re-export the title after the revisions to save your work! Before you export a project, there will be a phrase near the top of the main project page that reads: It has not yet been exported. If you apply any changes to the project after you export the text will read: # phrases detected per minute. Export is # MB. This project has been changed since it was last exported. Please export it before sending to QA check or downloading the accessible edition. Always re-export if you did any changes to the book or they will not be saved in the final downloaded project.

Pass to QA (Quality Assurance)

To pass to QA:

  • Select option Send to QA on project page. This will be below the option to Download the Accessible Edition
  • Once you select this option you will be taken to a page that reads Title has been moved to QA.
  • You can select Return Home to go back to the project page and continue working
After you send a title to QA it will be removed from your project list. Do not reupload the book. This will cause an error in Converter Plus. If you remember you forgot to do something for the title, just email the Production Coordinator. The title will be passed back to you if there needs to be any fixes. If the title passes QA it will not be passed back to you and you can continue working on other titles.

Passing RT Ticket Back to Production Coordinator

After you have exported your project and passed it to QA, you now need to pass the RT ticket to the Production Coordinator.

To pass a ticket back in RT:

  • Enter the time (in minutes) you worked on the book in the Time Worked field in RT. You will find this in the ticket's Basics tab. The default should already be Minutes.
  • Transfer your RT ticket to Rachel (rachel.osolen) who can then be notified to take a look.
  • You can transfer your ticket by changing the owner of the ticket. Go to the Basics tab and then the Owner field. Type in the name of the person you want to assign the ticket to.

To add a comment and pass ticket in RT:

  • Go to Actions drop down menu on the top left navigational menu for the ticket.
  • Select Comment
  • Enter the comment into the comment field, and cc the person you want the comment to go to (this is not needed, but will ensure the comment goes into their inbox and can help ensure they see it.)
  • Change the owner to Production Coordinator
